Privacy Policy

Last updated: September 14, 2026

This policy explains what information Clineos collects, why we collect it, and the choices you have. It applies to our website and to the Clineos platform.

Information we collect

  • Account information you provide, such as name, work email, practice name, and role.
  • Content you enter into the platform, including clinical notes, schedules, and billing records.
  • Usage information such as pages viewed, features used, device type, and approximate location derived from IP address.
  • Communications you send us, such as support requests and demo enquiries.

How we use information

  • To provide, maintain, and improve the Clineos platform.
  • To authenticate users and keep accounts secure.
  • To respond to support requests and communicate about your account.
  • To meet legal, accounting, and regulatory obligations.

We do not sell personal information, and we do not use patient information for advertising.

Patient information

When your practice uses Clineos, your practice is the controller of the patient information stored in the platform and Clineos acts as a service provider processing that information on your instructions. Requests from patients about their records should be directed to the practice that holds them.

Sharing information

We share information with service providers who help us operate the platform (for example hosting, email delivery, and error monitoring), when required by law, and in connection with a merger or acquisition. Service providers are bound by contract to use information only to provide services to us.

Retention

We keep account and platform information for as long as your practice maintains an account with us, and afterwards only as long as needed to meet legal and record-keeping obligations. Practices can request deletion of their data at the end of the contract.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. Contact us using the details below and we will respond within the time required by applicable law.
